How to organize a school event!!

Hi, I'm Shinoo I'm 15 years old and I'm part of the student council of my institution, I wanted to share a little blog for people who need a general guide on how to do this kind of activities, if there are doubts please write them in English so we can understand each other better, I emphasize that my first language is Spanish and I use the translator to be able to put this in English. ˚₊· ͟͟͞͞➳❥     First step: You have to be clear about what the activity will be about, where and how it will be. Preferably write it all in a document, you have to write the duration of this event, if it lasts 1 week write the days and investigate if there are evaluations in force in those days with the courses that you want to include. In case it coincides with an assessment, read the school regulations on assessment, in case it is compulsory it is best to move the activity from the timetable. 


˚₊· ͟͟͞͞➳❥     Second step: 

Written document, I highly recommend using Google docs to write this kind of documents, try to use a legible and not stylised handwriting, clarity is required more than aesthetic beauty in what we want to communicate. Avoid spelling mistakes, if you have a suggestion marked in the text, correct it as soon as possible or search the internet for the word and how to spell it. Justified format with 1.00 line spacing and 12 or 15 font size maximum, this will help readability and look tidy. This is very important as a document that is not formal will not be taken into account, formality and coherence go hand in hand, if you need help with coherence and writing I would highly recommend asking for help from your language and literature teachers, as they can give you feedback and correct any mistakes you make.


˚₊· ͟͟͞͞➳❥     Step three: Now that the planning is done, you have to locate in your establishment the rectors of the area in which the activity will be done, tell them in person what you plan and if it can be done (remember to send them the document, which must be written in a formal and justified format, with your name, course, personal information and detailing the activity and its requirements) Write down the names of the administrators, directors, rectors and cleaning and audio staff. if your plan is approved by the superiors of the establishment we can move on to step 4


˚₊· ͟͟͞͞➳❥     Fourth step: Ask for the necessary materials, if you need audio and a large room, ask for permission to the administrators, they are the ones who give registration and give permissions for activities to be given. Cleaning and audio staff, in case there is a stain that is difficult to remove or the room is not 100% clean, ask for help, it is also best to clean together with the staff, so you make sure everything is clean and serves as an experience of knowledge of hygiene in common spaces. Audio equipment, most of the time I have not known how to use these devices and I usually ask for help before watching a tutorial on youtube as the adults who work there know what model it is, how it works and even know tricks and solutions to mistakes! Take the opportunity to set up the room with chairs and tables if necessary, bring your tools that you see necessary and let me give some tips.


ੈ♡˳    If the activity requires measuring distances, bring a tape measure and tape.








ੈ♡˳   If written materials are needed, print them out.


ੈ♡˳   always check the weather, if it is in winter and it is very cold in your area, bring heaters or cookers, leave the room at a good temperature.


ੈ♡˳   Take photo before arranging the room, one when it is already arranged by you, so you can see how it was before to leave its arrangement same as before.











˚₊· ͟͟͞͞➳❥     Fifth step: Communicate with the student centre of your establishment to give the official announcement of the activity, days of the event, what it consists of and how it will be. Communicate it to the teachers of the courses that can participate and finally get everything ready for the day of the event.

˚₊· ͟͟͞͞➳❥     Sixth step: Check days before if everything is working well. If something is not working, communicate it immediately to replace it.
